On-Site Embroidery Service Terms

These terms apply to all live, on-site embroidery services provided by Embroidery Team. By booking an event, the Client agrees to the policies outlined below.


1. Booking & Payment

A signed agreement and a 50% non-refundable deposit are required to secure an event date.

The remaining balance is due no later than 3 days prior to the event date. Failure to submit final payment may result in cancellation of services.


2. Event Duration

On-site embroidery services include up to 8 consecutive embroidery hours per day, including one scheduled 30-minute lunch break.

The event rate covers embroidery completed only within the scheduled service window. 


3. Production & Line Policy

Embroidery Team provides unlimited embroidery during scheduled event hours. However, completion of all guests in line is not guaranteed.

If a line forms and not all items are completed within the scheduled timeframe, Embroidery Team is not responsible for unfinished items.

Remaining items may be completed after the event at a per-piece embroidery rate as desired.


4. Overtime

If additional time is requested and approved, overtime is billed at $150 per additional hour.

Overtime must be approved prior to the scheduled end time.


5. Event Requirements

The Client agrees to provide:

  • Access to a standard 110v power outlet
  • A stable table or designated workspace area
  • Covered, dry working conditions
  • One sample of each item to be embroidered at least one week prior to the event
  • Secure indoor storage for multi-day events if equipment remains overnight

Failure to provide proper power, space, or safe conditions may limit or prevent service.


6. Design Approval & Production Limits

All designs must be approved prior to the event. Embroidery Team reserves the right to decline designs that exceed reasonable stitch count limits for live production.

Production time per item varies based on design complexity.


7. Equipment & Liability

The Client is responsible for providing a safe and secure working environment.

Embroidery Team is not liable for damage caused by guests, venue staff, power interruptions, weather exposure, or unsafe conditions.

Client assumes responsibility for any damage to equipment caused by attendees or venue-related circumstances.


8. Cancellation & Rescheduling

Deposits are non-refundable.

If the Client cancels within 7 days of the event date, the remaining balance may be due.

One reschedule request may be permitted if made at least 7 days prior to the event, subject to availability.


9. Force Majeure

Embroidery Team shall not be held liable for failure to perform services due to circumstances beyond reasonable control, including but not limited to: severe weather, natural disasters, power outages, government restrictions, venue closures, public health emergencies, or other unforeseen events.

In such cases, both parties agree to make reasonable efforts to reschedule. Deposits may be applied toward a future date within 60 days.


10. Service Area

On-site embroidery services are available within approximately a 60-mile radius of the San Francisco Bay Area. Travel outside this area may be subject to additional fees.
